When their legacy system approached license renewal, the leadership team took it as an opportunity to rethink how delivery, finance, and forecasting could operate in unison.


The roadblocks before Rocketlane

As Xceptor’s customer base and delivery footprint expanded globally, their Professional Services (PS) organization began encountering the natural complexities that come with scale. Processes that worked well for a smaller team now needed to evolve to support greater delivery volume, distributed teams, and growing client expectations.

“Every region had its own way of doing things- spreadsheets, trackers, and manual reports. We couldn’t get a consolidated view of where we were with all our projects or what was coming up next.”

The need for a centralized project management

Xceptor’s global delivery teams used different tools and trackers to manage projects, and each team maintained its own version of project trackers. Variations in task structures, milestones, and documentation meant that leadership didn’t always have a unified lens for visibility or benchmarking performance.

Evolving financial oversight requirements

Xceptor used NetSuite OpenAir effectively for timesheet and invoicing management, but as delivery scaled, the team recognized a need for deeper, real-time insights into project financials. They began looking for ways to gain greater visibility into metrics like budget utilization, burn rate, and forecasted revenue, all within a single connected view.

Shift toward proactive management

Because delivery, resourcing, and financial data lived in different systems, Xceptor’s PS organization wanted to move from retrospective reporting to real-time decision-making. They saw an opportunity to better anticipate risks, optimize resource planning, and engage more proactively with customers throughout project delivery.

Scaling a global delivery function

With over 40 consultants across London, New York, Singapore, and Cape Town, Xceptor’s delivery organization aimed to strengthen consistency across regions. The team wanted to standardize project tracking, reporting, and governance practices, setting the foundation for a more connected, data-driven delivery model.
