Use case

Implementation, Project visibility, Client collaboration

Before

  • Saasgenie faced inefficiencies in client onboarding and implementation due to outdated, disconnected tools.
  • Legacy systems lacked integration and visibility for both internal teams and clients.
  • Their heavy reliance on manual tracking led to delays and difficulty managing multiple projects at once.

After

  • Rocketlane’s project templates streamlined onboarding and cut implementation timeline by 50%.
  • Real-time milestone and task tracking improved visibility for both teams and clients, reducing miscommunication.
  • Efficiency gains from automation and a centralized platform enabled SaaS Genie to scale without adding headcount.

Raj Rajaskar, the CEO of Saasgenie, founded the company to help organizations implement and integrate leading SaaS tools like Freshworks, Intercom, and Atlassian. They provide a one-stop solution for clients, covering everything from onboarding to integration, migration, and training.

However, as the company grew, Raj realized that managing multiple clients, each with their unique needs, was becoming a hindrance. The tools they used were inefficient and lacked the collaboration features necessary for long-term client success.

Challenges before Rocketlane

SaaS Genie initially relied on a clunky tool with manual processes for project management, which led to delays and inefficiencies. They faced significant challenges in client collaboration, time tracking, and capacity planning, all of which required additional operational resources.

Inefficient project management

The old tool was outdated and the team faced roadblocks across multiple phases of the project lifecycle, right from requirements gathering to milestone sign-offs and revenue recognition. These inefficiencies led to a heavy reliance on manual efforts and required a seven-member operations team just to manage ongoing implementations.

Lack of client collaboration

There was no seamless way to collaborate with clients on their projects, which led to miscommunication and delays. Customers often defaulted to using Slack or email as they were more comfortable with their existing communication habits.

Time tracking and capacity planning issues

The legacy tools used before Rocketlane did not provide the granularity needed to accurately track team hours or forecast resource availability. This lack of visibility made it hard to plan workloads, manage bandwidth, and ensure on-time project delivery. Additionally, revenue recognition was impacted by the absence of precise tracking, leading to operational delays and reporting inconsistencies.

Life with Rocketlane

When Saasgenie adopted Rocketlane, the transformation was immediate. Rocketlane’s dynamic project templates allowed Saasgenie to tailor onboarding processes for each client, speeding up the process from several months to just 4–8 weeks.

"We don’t need to chase updates over email anymore. Everyone logs into Rocketlane and sees where things are at."

Project templates

With predefined templates mapped to each service tier, the team was able to drive consistency across every customer implementation. These templates served as structured blueprints, eliminating the need to recreate plans from scratch. Additionally, integrating Rocketlane with their CRM allowed opportunities to automatically convert into projects with the right template and tasks assigned, enabling a seamless transition from sales to delivery.

Customer collaboration

Rocketlane allowed both Saasgenie’s internal teams and clients to track project progress and enable milestone-level sign-offs. All project documents, meeting recordings, and updates were housed in one place, helping the team reduce fragmented communication. While getting customers to fully adopt the portal still required behavioral nudges and education, the overall experience was notably more cohesive than relying solely on tools like Slack or email.

Faster implementations

By combining their internal methodology with Rocketlane’s structured workflows, SaaS Genie successfully reduced their project timelines by half- from 16 weeks to just 8 weeks. This faster time-to-value not only benefited SaaS Genie’s operations but also directly improved customer satisfaction, with scores rising from around 7 to as high as 8.5–9.5. The ability to move quickly while maintaining high quality became a strong differentiator for their services.

The integration of Rocketlane helped Saasgenie’s team focus on what they do best, delivering value to clients, without getting bogged down in administrative tasks. The ability to share project visibility improved collaboration with clients and helped ensure smoother implementations.
